This privacy policy outlines how we handle and protect your information within the PEMAPI Mobile App ecosystem.

Welcome to PEMAPI (the "App"), a Smart APAR (fire extinguisher) Management System developed by Coco Profile ("we", "us", or "our"). We are committed to protecting your personal data and respecting your privacy.

This Privacy Policy explains how we collect, store, process, and protect your information when you use our mobile application. By logging in or using the App, you agree to the terms described in this policy.

Note: This App is designed specifically for enterprise and facility management technicians to track inspections, maintenance, and compliance of safety equipment. It is not intended for the general consumer public.

2. Information We Collect

We collect only the essential information required to deliver the core services of our Smart APAR Management System:

A. Account and Profile Data

When your company registers your technician account, or when you log in, we utilize details stored in our backend (PocketBase / Firebase Auth):

  • Required Account Details: Full Name, Email Address, User ID.
  • Required Organization Context: Company Name, assigned facilities, and technician role.

B. Operational Records

To establish compliance audit trails, we log actions taken within the App:

  • Inspection checklists completed by you.
  • Photos taken of fire extinguishers during inspection.
  • Date, time, and technician signature linked to inspection logs.

C. Technical Identifiers

We collect standard connection and device telemetry, including operating system version, device model, and unique identifiers, to maintain app performance, prevent fraud, and deliver notifications.

3. Device Permissions

To support key functionality, the App requires specific system permissions on your Android device. You can grant or revoke these permissions in your system settings at any time:

Camera Permission

Purpose: The camera is used solely to scan QR codes attached to fire safety equipment (APAR) for identification, and to take compliance photos showing equipment status during inspections. The video feed is processed locally and is not recorded, streamed, or stored unless you submit a checklist containing a status photo.

Notifications Permission

Purpose: Used to receive push notifications via Firebase Cloud Messaging (FCM). These notifications keep you informed about upcoming scheduled inspections, system alerts, and supervisor comments on inspection tasks. You may opt out of these in your system notification settings.

Local Storage

Purpose: The App stores your authentication credentials securely in local SharedPreferences. This keeps you logged in between sessions so you do not have to re-enter your password each time you open the App. These credentials can be cleared by clicking "Sign Out" in the profile tab or uninstalling the app.

4. How We Use Your Data

We process your data strictly for the following operational purposes:

  1. Authentication & Security: To verify your identity and authorize your access to your organization's private inventory database.
  2. Compliance Auditing: To log inspections, certifying that your organization's fire safety equipment is checked regularly and remains functional.
  3. Task Management: To notify you of scheduled inspections, tasks, and system changes.
  4. App Performance: To detect crashes, improve responsiveness, and troubleshoot bugs.

5. Data Sharing & Security

We value your trust and do not monetize or sell your data. Your information is shared only under these conditions:

  • Your Organization: Your inspection reports, name, and timestamps are shared with your organization's administrators.
  • BaaS Infrastructure: Data is synchronized securely with our backend platforms (PocketBase and Firebase Auth/Messaging) which use industry-standard encryption.
  • Legal Requirements: If required by law to protect safety, prevent fraud, or comply with legal processes.

Security Measures

All data in transit is encrypted using Secure Socket Layer (SSL/TLS) connections. Data stored on our servers is protected using role-based access control, ensuring that only authorized administrators from your company can view safety records.

6. Data Retention & Deletion

We retain your profile data and inspection logs for as long as your technician account remains active within your organization, or as required by industry fire safety compliance policies.

If you or your company administrator wish to terminate your account and request complete deletion of your personal profile data, you may submit a request by contacting us via the details below. Please note that historical inspection reports may be retained as archive records to preserve the safety audit logs of the facility.
